Administrative Executive, Fragrance Procurement (1-Year Contract)

We are seeking a highly organized and skilled Administrative Personal Assistant to join our client’s team. You will play a vital role in coordinating client’s internal operations and providing comprehensive administrative support to SVP of Procurement as well as the Global Fragrance Procurement team. You will possess exceptional organizational and communication skills, with a strong proficiency in various administrative tasks and software applications such as Microsoft Suite, Outlook, Concur and SAP.

Administrative Executive, Fragrance Procurement (1-Year Contract)

The Position:

Calendar Management

• Efficiently manage the executive's calendar, ensuring accurate scheduling of meetings, appointments, and travel arrangements.

• Coordinate and prioritize conflicting commitments, ensuring optimal time management and seamless scheduling.

 

Administrative Support

• Provide comprehensive administrative support to the executive team, including drafting and proofreading emails, memos, reports, and other business correspondence.

• Assist with document preparation, formatting, and editing using Microsoft Suite (Word, Excel, PowerPoint) to create professional documents, presentations, and spreadsheets.

• Organize and maintain digital and physical files, ensuring easy retrieval of information.

 

Internal Team Coordination

• Serve as a liaison between the executive team and other departments, facilitating smooth communication and collaboration.

• Coordinate team meetings, take minutes, and follow up on action items to ensure timely completion of tasks.

• Assist in organizing and coordinating company-wide events, meetings, and conferences.

 

Communication Management

• Manage and prioritize incoming and outgoing communications, including email correspondence, phone calls, and messages.

• Respond to inquiries and provide necessary information or direct them to the appropriate person.

• Monitor and update company-wide communication platforms, ensuring accurate and up-to date information is available to all team members.

 

SAP Expertise

• Utilize SAP software to assist with various administrative tasks, such as data entry, generating reports, and tracking expenses.

• Collaborate with the finance department to ensure accurate recording and reporting of financial data within the SAP system.

 

Requirements:

• Degree with at least 3 years of proven experience as an Administrative Personal Assistant or similar role, preferably in a fast-paced environment.

• Diploma with at least 5 years of relevant experience is welcomed to apply too.

• Proficiency in Microsoft Suite (Word, Excel, PowerPoint) with advanced knowledge of formatting, document creation, and data analysis.

• Strong organizational and time-management skills, with the ability to prioritize tasks effectively and meet deadlines.

• Excellent written and verbal communication skills, with a keen attention to detail.

• Experience with calendar management and scheduling tools.

• Familiarity with SAP software or other enterprise resource planning (ERP) systems is highly desirable.

• Ability to handle sensitive and confidential information with professionalism and discretion.

• Strong problem-solving skills and ability to adapt to changing priorities.

• Ability to work independently as well as part of a team, demonstrating strong interpersonal skills.
